6. Data Deletion Policy
6.1 Account Deletion
Users may request deletion of their Charitey account at any time. Account deletion requests can be submitted via:
- The account settings panel, using the 'Delete Account' option.
- A written request to support@charitey.org with the subject line 'Account Deletion Request'.
- A written request to our Grievance Officer at grievance@charitey.org.
- Upon receiving a deletion request, Charitey will verify the identity of the requester before initiating the deletion process. We will acknowledge your request within 5 business days.
6.2 What Is Deleted
Upon account deletion, the following categories of data will be removed from active systems:
- Your name, email address, contact details, and profile information.
- Donation listings and resource requests you have submitted.
- Profile photographs and uploaded documents (except those required to be retained by law).
- Account activity logs, preferences, and saved settings.
- Direct messages and Platform communications associated with your account.
6.3 Retention Period Before Full Deletion
Following submission of a deletion request, Charitey will initiate deletion within 30 days. In some cases, where we must verify outstanding obligations or investigate complaints, this period may be extended to a maximum of 90 days. During this period, your account will be deactivated and inaccessible to other users.
6.4 Backup Removal
Data deleted from active systems may persist in encrypted backup copies for a period of up to 90 additional days following active deletion, after which it will be permanently removed from all backup storage. During this backup retention period, the data will not be used for any active processing.
6.5 Legal Exceptions to Deletion
Charitey may be required to retain certain data beyond the standard deletion period in order to:
- Comply with legal obligations under applicable Indian law.
- Respond to ongoing government or regulatory investigations.
- Resolve pending legal disputes or claims.
- Maintain records required for tax or audit purposes.
- Prevent fraud or abuse by individuals who have been permanently banned.
- Where data is retained for legal purposes, it will be held securely and will not be used for any other purpose. Users will be informed of the reason for extended retention where permitted by law.
6.6 NGO Data
NGO verification documents and associated records may be retained for a period of up to 5 years following account closure, in accordance with applicable regulatory requirements and to protect the integrity of the Platform's verification history.
6.7 Processing Timeline Summary
Day 1: Deletion request received and acknowledged.
Days 1–5: Identity verification completed.
Days 5–30: Active data deletion initiated and completed.
Days 30–120: Backup data purged from encrypted backups.
Day 120+: All personal data permanently removed (unless legal exception applies).
